It is time to start planning the future of the Dover Jaycees and to begin nominations for next year's Board of Directors. Below is a list of the positions and a description of the responsibilities. Please reach out to the current board members if you are interested in being involved in shaping the future of the Dover chapter.
Nominations will open during the October meeting and will continue until election day on November 14th during the General Membership Meeting.

Chapter Board Positions and Descriptions
RESPONSIBILITIES OF ALL POSITIONS
- Attend at least 75% of all Board and Membership Meetings.
- Attend and/or assist at major functions hosted by the Dover Jaycees.
- Support and attend Wilmington, Middletown, New Castle, state and national events when possible.
- Submit monthly reports to President
- Always set the example and represent the group in a positive manner at all meetings and events.
- Promote the organization in the community to build recognition and attract new members.
- Maintain timely contact with President and fellow board members as requested

PRESIDENT

- Serves as chief executive officer and guidance force of the chapter.
- Oversee chapter structure, events, activities, communications, etc.
- Presides over monthly board and membership meetings.
- Attends monthly state board meetings.
- Develop agenda for monthly board and general meetings.
- Serve as official representative of the chapter to the membership and the community.
INDIVIDUAL DEVELOPMENT VICE PRESIDENT

- Ensure individual development events and projects are conducted quarterly.
- Identify needs and interests of members in areas included but not limited to physical well-being, mental well-being, self-help, leadership development, professional development and teambuilding.
- Identify activities and programs to meet the needs and interests identified above.
- Identify topics, activities and guest speakers for monthly meeting, being sure to alternate themes.
- Help plan large-scale events such as workshops, prominent speakers, etc.
- Help promote state-sponsored individual development events to members.
MEMBERSHIP DEVELOPMENT VICE PRESIDENT

- Ensure that membership drives designed to recruit new members are conducted quarterly.
- Help develop events and activities designed to get members to socialize and network with each other.
- Maintain and update member roster monthly, including adding new members.
- Tracking attendance of members at all general meetings, committee meetings, and chapter, state and national events, and help identify quarterly award recipients.
- Ensure prospect list is updated quarterly and work with President to follow up in a timely manner.
- Ensure email reminders and invoices for membership renewals are sent a month in advance.
- Work closely with Local Directors to oversee contact with members.
- Assist President in ensuring a successful activation of new members, which includes distributing conducting new member orientations quarterly.
COMMUNITY VICE PRESIDENT

- Oversee projects for the direct or indirect benefit of the community (local, regional and national.)
- Ensure community events and projects are conducted quarterly.
- Help identify the needs of the surrounding community.
- Help identify local community organizations for the chapter to partner with.
- Get member feedback for causes/charities/organizations the chapter should consider supporting.
CHAPTER MANAGEMENT VICE PRESIDENT
Currently open position
- Work with committee chairs to ensure Chapter Plan Guides (CPG) are completed.
- Assist new members with understanding and completing the Passport to Leadership program.
- Assist President in reviewing Chapter Plan and submitting Blue Chip documentation quarterly.
- Assist in maintaining history files of events, contacts, etc.
- Maintain inventory list of equipment and supplies stored at clubhouse.
- Assist in pursuing the development of relationships with local businesses.
TREASURER
Currently open position
- Ensure that all financial records are maintained accurately, including reviewing bank statement, money market statement and ledger monthly.
- Ensure all Tax/Financial forms are accurately reported by appropriate deadlines.
- Maintain checkbook ledger-tracking all payments, reimbursements, income, etc.
- Complete reimbursement form for checks written out to members and maintain all related receipts.
- Oversee usage of debit card, permitted by President, Treasurer and Chairmen of Board only.
- Ensure all dues and monies owed to the Delaware Jaycees are paid quarterly.
- With the President, develop and maintain an annual budget which should be reviewed quarterly.
- With the President, review and approve all budget requests for chapter events, programs and activities. Ensure expenses stay within proposed budget.
- Maintain contact with solicitor, including ongoing meetings to process payments.
- Develop ideas for raising funds for the chapter.
SECRETARY
Currently open position
- Record accurate meeting minutes for board and membership meetings, distributing to board within 1 week after meeting.
- Forward details on chapter events to other chapters in state, including state board
- Assist President with updating monthly Newsletter
- Assist Membership Vice President with collecting attendance sheets from meetings and events, updating attendance records and identifying members who have earned rewards.
- Help ensure correct contact information for members are maintained.
LOCAL DIRECTORS

- Contact assigned members at least once a month via phone, email, etc.
- Establish personal connections, find out their interests, needs and concerns.
- Inform members of upcoming events, activities, and volunteer opportunities
- Take extra steps to reach out to inactive members and identify their reason for inactivity.
- Document all communications in a monthly report, due to President the 2nd Monday of the month.
- Indicate those who did not respond have wrong phone/email address, etc.
- Inform Membership Vice President of members that need their contact information corrected, are not interested in renewing, etc.
- Help identify needs and interests of members including those interested in volunteering, serving on committee, interested in certain types of events.
- Maintain ongoing relationship with assigned members
PR DIRECTOR

- Assist the Management Development Vice President in writing the PR portion of the chapter plan.
- Work closely with each Vice President to promote all chapter projects.
- Promote chapter activities internally through the chapter newsletter and at chapter meetings.
- Promote chapter activities externally through press releases to all media outlets, including television, radio, and print.
- In absence of Chapter President, act as spokesperson for the chapter.
- Actively seek out potential new members and work to add them to the chapter roster.
- Lead by example by being visible in chapter activities.
